General Conditions for Conference Funding Requests

Introduction:

The Scientific Culture Directorate of KFAS (Kuwait Foundation for the Advancement of Science) annually receives a large number of requests for contributions to scientific conferences from various local entities. KFAS reviews these requests and provides financial funding for conferences that meet its criteria. The funding provided is financial only, and each entity is entitled to receive funding once per year.

Conditions and How to Submit a Funding Request:

  1. Funding is limited to requests from non-profit Kuwaiti entities, Kuwait University, private universities, and civil society organizations, including offices of regional international organizations in Kuwait.
  2. Funding is limited to conferences held within the State of Kuwait.
  3. Organizers must provide KFAS with all the requirements specified in the funding request form at the time of submission. If all requirements are not fulfilled, the funding request will be canceled.
  4. Priority for consideration of conference funding will be given to:
    • Entities that have not previously benefited from KFAS funding.
    • Scientific and technological topics that have not been previously funded by KFAS.
    • Scientific topics that align with the goals and vision of KFAS.
    • Fields that are approved according to KFAS’s general policies and regulations.
  5. KFAS’s contribution percentage is determined based on the items funded by the foundation.
  6. The terms and requirements for conference funding listed below, along with the funding request form, must be approved and signed by the authorized representative (the chair of the organizing committee).

Conference Funding Terms and Requirements

If KFAS (Kuwait Foundation for the Advancement of Science) approves funding for the conference, the organizers must comply with the following terms:

  1. KFAS’s contribution and logo must appear on all conference-related materials, including booklets, brochures, advertisements, posters, invitations, event stationery, certificates, plaques, and any related announcements, the organizing committee's speech, the final report, and the project log. KFAS should also be acknowledged in any press conferences organized for the conference. The phrase "Supported by" should appear above KFAS’s logo on all printed materials, including certificates and on the outer cover of the project log (if applicable).
  2. KFAS’s support/Fund must be acknowledged in the official speech of the organizing committee during the conference opening. Additionally, KFAS must be invited to participate in any press conferences organized for the conference and deliver a speech on behalf of KFAS. The foundation reserves the right to promote its support of the conference through media.
  3. Organizers must notify KFAS at least 5 business days prior to printing to obtain approval on the following: preliminary designs for conference materials, the complete media plan, press releases, and the organizing committee’s official opening remarks.
  4. KFAS must receive one copy of all printed materials (both a physical copy and an electronic version). Additionally, an electronic version of all media coverage and advertisements as published in the media must be provided in PDF format.
  5. Five seats must be reserved for KFAS representatives to attend the conference. The organizers must notify KFAS in writing of the conference date at least 10 days prior to the event.
  6. If there is an exhibition area at the conference, organizers must notify KFAS at least 10 business days prior to the event. A dedicated exhibition space (table/booth) must be provided for KFAS, with the space size and location plan shared in advance so KFAS can make necessary arrangements.
  7. KFAS must receive the criteria for selecting judges and the evaluation standards for scientific papers at least 5 business days prior to the review meeting, along with a list of the approved scientific papers.
  8. Any major changes to the conference details, such as the event date, from what was originally submitted in the funding request must be communicated to KFAS in writing to obtain approval. The entity is permitted to make changes only once.
  9. No agreements (verbal or written) with commercial offices to host the conference may be made without prior approval from KFAS.
  10. Upon KFAS's approval, the contribution will be disbursed to the applicant entity for the approved activity only.
  11. The organizers must provide KFAS with their banking details (bank name, branch, account number, IBAN) if they prefer direct account transfers.
  12. Payments will be made according to the terms outlined in the approval letter.
  13. After the conference concludes, the organizers must carry out the following:
    • Submit the final administrative report to KFAS no later than 3 weeks after the conference ends.
    • Provide participant attendance data using the pre-prepared table provided by KFAS. KFAS will send the table via email to the organizers, who must fill it out and return it in the same format electronically. Failure to submit the participant attendance data (survey) will result in the withholding of KFAS's contribution. The organizers must ensure that at least 70% of the total attendees/participants provide complete information in the attendance data form.
    • Submit all invoices for the conference expenditures that correspond with the total amount funded by KFAS.
  14. If any of KFAS's terms mentioned above or within the general conditions are violated, KFAS reserves the right to cancel its funding entirely or deduct a portion of the contribution, as determined by its policies and regulations. These violations will also be taken into consideration for future funding requests.
